Add graphic to envelopes in Microsoft Word

  • Quite a while back I read instructions on how to print a graphic as well as a return address on an envelope using Microsoft Word. This could then be saved and automatically added to every envelope that is printed. Can you refresh my mind as to how this can be done?

    Adding a graphic to envelopes is quite straightforward, but just a bit tricky to figure out how it’s done if you haven’t done it before. Go to the ‘Tools’ menu > ‘Letters and Mailing’ > ‘Envelopes and Labels’ (if you are using Word 2000, go to the ‘Tools’ menu > ‘Envelopes and Labels’). In the window that appears, fill in the address details for the envelope and then click ‘Add to document’. You will see the document now has a new page, with the dimensions of the envelope. In addition, the address details you previously specified are automatically included. Now, you can insert and position a graphic on the envelope layout just like a normal Word document (since the envelope layout is essentially just a page in the document, which has the dimensions of an envelope). This should also work the same if you are completing a mail merge, as you just need to modify the ‘master’ template (where all the mail merge variables are inserted) to include the graphic. Then, each individual envelope will conform to the ‘master’ template and also include these graphics.
